Undergraduate Academic Affairs (UAA), a unit within the Office of the Provost, enhances the experience of UW undergraduates. Within UAA, First Year Programs (FYP) oversees the entry and transition of approximately 9,200 new students and 3,800 family members annually. Key FYP programs include Advising & Orientation, Family Orientation, Dawg Daze, First-Year Interest Groups, First-Year Networks, and the Commuter & Transfer Commons. 

Advising & Orientation (A&O) Student Coordinators (StuCos) are part of a collaborative team that supports the planning and delivery of A&O programs. They work closely with professional and student staff to ensure a smooth transition for incoming students. 

StuCos serve as paraprofessionals, leading A&O programming and managing the recruitment, training and supervision of Virtual Orientation Leaders. They also help with other programs as needed, providing high-quality support to first-year (U.S. and international) and transfer students.

Overview

Hourly wage: $20.76 (effective January 1, 2025)

Start/end date: Week of Oct. 6. 2025–Oct. 2026 

Student Employees cannot work more than 19.5 hours/ week while classes are in session including finals week, but can work up to 39.5 hours during breaks as agreed upon by your supervisor. 

Hours available: 

  • Autumn quarter: 10–15 hrs/wk
  • Winter quarter: 10–15 hrs/wk
  • Spring quarter: 10–15 hrs/wk
  • Summer quarter: 39.5 hrs/wk

Leave time (including vacation and sick time) may impact hours worked each week.

This position is an in-person position in MGH 120 with occasional work from home opportunities if needed and as agreed upon by your supervisor.

Summary of work 

The StuCo for A&O Systems will:

A&O Program Admin (45%)

  • Track all participant engagement in videos, sessions, and webinars for reporting purposes.
  • Support with Spring GEN ST 370 grading
  • Collaborate with the Student Coordinators for A&O Programs and Logistics to support campus partners and Virtual Orientation Leaders during A&O programming, including Issues Chats.
  • Support and assist the StuCo for A&O logistics in their tasks and projects.
  • Support Virtual Orientation Leaders and A&O Program StuCo throughout the summer, including but not limited to facilitating A&O sessions, taking session attendance, leading Zoom check-ins with VOLs, and facilitating VOL student-outreach time.
  • Manage the uwao@uw.edu

A&O Programs Systems Support (45%)

  • Help manage the A&O reservation system (Visual Zen), assist students in making reservations.
  • Coordinate the collection, organization, captioning, and basic editing of all A&O media, including slides, videos, and photographs.

  • Work with the A&O Program Manager for Academic Partnerships to create a process to provide VOL’s with feedback during the summer.
  • Utilize and build technical and administrative skills/tasks within Microsoft Office, Google Suite, Zoom, Visual Zen, and other internal UW databases/ systems

Recruitment (5%)

  • Support in the selection of the Virtual Orientation Leader team including recruitment info sessions, application review, interview support, and the selection process.

Other (5%)

  • Serve and lead the First Year Experience Student Advisory Council
  • Other FYP duties: Including but not limited to providing feedback on documents, presenting during student trainings, and supporting live Zoom rooms
  • Support ProStaff in the development of office wide assessments within Qualtrics and Visual Zen 
  • Actively engage with office activities and provide feedback on our procedures
  • Support the planning and delivery of all programs in FYP in line with the functions of these roles and the StuCos’ developmental interests.
     

The position requires you to be located physically in the Mary Gates Hall Office (Suite 120). This position does not provide housing or a food stipend in the summer months.

Required qualifications

  • Full-time, degree-seeking, undergraduate student on the Seattle campus
  • Enrolled in classes while employed. If working in summer, must be enrolled in classes for the fall.  
  • Good academic and conduct standing prior to and throughout the entire term of employment.
